Stock, gratuity, expense and sales reports
Value your stock and follow its movements, check the end-of-service and leave salary provision against payroll, and see your expenses by category and your sales by customer.
Five reports on the Reports page look at one part of the business: the value of your stock and how it moved, the gratuity and leave salary you owe your employees, what you spent, and whom you sold to. Like every report, they read what is posted in your books, and the stock and gratuity reports check themselves against the matching account in the ledger.
Open Reports in the main menu and click the tab.
Inventory valuation#
Inventory Valuation shows the goods you hold on the As of date, at cost, from the stock ledger: every movement in and out at its cost, in AED.
- 1 All warehouses, or one warehouse.
- 2 The As of date.
- One line per item: Item, Item Code, Quantity in the item's unit, Average cost and Value. 3 When an item is kept in more than one warehouse, the quantity and value in each warehouse are shown under its name.
- Under the table, Verasol compares the stock value with your Inventory account: Stock ledger value (all warehouses), 4 Inventory account (GL) and the difference. A green check means the stock and the books agree.
If part of the difference is opening stock that was entered without its opening entry in the books, the report shows that part on its own line. The comparison is always for all warehouses, because the Inventory account is not kept per warehouse.
Stock summary#
The Stock summary shows how each item moved during a period. Choose the Period (This month, Last month, This quarter, This year) or set From and To for a Custom period. You need the permission Inventory (view) to see this tab.
- 1 The period.
- For each item, the Opening, In, Out and 3 Closing quantity (Qty) and Value. 2 Click an item's name to open the item.
- Total: the values only, because quantities are in each item's own unit.
- 4 The stock against the books on the last day of the period: Stock value (stock records), Inventory account in the books and the Difference. When they differ, the report says which side is higher and what to check, such as a journal entered by hand on the Inventory account.
Use the circular arrow to reload and the printer to print. For the movements themselves, see Stock movements.
Gratuity provision#
Gratuity provision checks the end-of-service gratuity and the leave salary that payroll has provided for in your books, employee by employee, on the As of date. It opens on the last month-end.
- 1 The As of date, with the quick dates 2 Last month-end, Last year-end and Today. Print and 3 Excel are next to them.
- Four tiles: Total entitlement (the gratuity due if every employee left on that date), Provision in the books, Difference to the latest payroll and 4 Unexplained difference. When the provision agrees, the report says so in green; otherwise it gives the usual causes, such as an exit date or a salary change recorded after the payroll for that month was processed.
- How the provision agrees with payroll reconciles the gratuity earned, the provision the books should hold and the provision in the books.
- 5 Gratuity per employee: Joining date, Service, Basic salary, Entitlement, Earned to date, Provided by payroll and the Difference. UAE and GCC nationals insured under a pension scheme are marked as receiving no gratuity.
- Left but not yet settled, Provision not tied to an entitlement and the Leave salary provision, each with what to do.
The entitlement follows the UAE Labour Law (Federal Decree-Law 33 of 2021, Article 51), as the report states at the top. Each employee's figures are payroll data: without payroll viewing access, the report shows only the totals. See End of service.
Expense Report by Category#
The Expense Report by Category totals your expense accounts between From and To, the largest first: Expense Category, the number of postings (Transactions), the Amount and its share of the total (%). The amount is the debits less the credits on the account, so a refund or a reversal lowers it. Choose one category in the list to see only that one.
1 All Categories or one category. Click 2 a category to see its postings: Date, Description, Reference, Vendor and Amount. 3 When a posting comes from a purchase bill, its reference is the bill number and opens the bill.
Sales Report by Customer#
The Sales Report by Customer shows, for each customer, the Invoice Count and the Total Sales between From and To: issued invoices less credit notes, without VAT, in AED as they were booked. Choose one customer in the list, or All Customers.
Drafts and deleted documents are not counted. An invoice cancelled within the period is left out; one cancelled in a later period counts in its own period and comes off, as a negative line marked cancellation, in the period of its cancellation. The proceeds of a fixed asset sold on an invoice are not sales.
Click a customer to see the invoices and credit notes: Invoice #, Date, Reference, Status, Subtotal, VAT and Total. Click an invoice number to open it. See the picture in Reports.
