Working in Verasol#
Can I use Verasol in Arabic?#
Yes. Click the flag in the top bar and choose English or العربية. Verasol works in both languages, and you can ask Vera in English or Arabic. See Find your way around.
I forgot my password. What do I do?#
On the sign-in page, click Forgot Password? and enter your e-mail address. Verasol e-mails you a link to choose a new password. The link works for 60 minutes and only once. When you save the new password, you are signed out on every device; sign in again with the new one. If you signed up with Google, Microsoft or LinkedIn, the same page lets you set a password too. See Sign in.
Why is a date refused with "The books are closed through …"?#
The date falls in a closed period. Closing a month locks its books so your reports stay as they were. Date the transaction in an open period, or have someone with the right role reopen the period on Period closing. See Period closing.
How do I undo a journal entry that is already posted?#
You reverse it. For a manual entry, click Void Entry on its row in Journal Entries. The posted entry stays in your books, and the reversal is a new entry that cancels it, so both remain visible. An entry made by a document, such as an invoice, a bill or a payment, is corrected through the document instead, for example with a credit note. A draft entry is not in the books yet: change or delete it instead. See Journal entries.
Can I record a payment that has not happened yet?#
Not as a posted payment: nothing is booked on a bank account with a date after today. Save it as a draft and post it when the money moves. For a cheque dated later, see Post-dated cheques.
What does a refusal message mean?#
Verasol says why it refused something and usually what to do. The most common messages are explained in What Verasol's messages mean.
Vera#
Does Vera post anything without me?#
No. Vera prepares drafts and proposals. A draft, such as an invoice or a journal entry, waits on its own screen; a proposal, such as a cheque deposit or a bank match, waits in Awaiting your approval. Nothing is in your books until a person approves it. The only exception is a company whose owner switched on YOLO mode. Some things are always for a person, whatever the setting: Vera cannot file a VAT return or close or reopen a period. See Awaiting your approval and YOLO mode.
Can Vera answer questions across all my clients?#
Yes, in an accountancy firm. Ask, for example, Which of our clients have months that are not closed yet? She answers for the clients you can open. When you ask her to work in one client, she switches to that client first. See The firm portal.
How much does our firm use Vera?#
Firm admins and partners (for their own office) see it on AI usage: questions and conversations per month, per accountant and per company. Firm admins also see the amount billed under your agreement. See AI usage across clients.
Accountancy firms#
I run a firm. How do I get from the firm's screens to a client's books?#
Use the switch at the top of the main menu: Firm shows the firm's screens, Books the books of the company that is open. To open another client, click the company name in the top bar or press Ctrl+K. See The firm portal.
Why don't I see the Firm and Books switch?#
The switch is for firm admins and partners. Other staff see a Practice section at the top of their main menu, and Practice in the top bar, which open the practice dashboard. See The firm portal.
Why can't I see a client in my list?#
You only see the clients you can open. Most staff reach a client through an assignment; partners reach the clients of their office. If you should work on a client, ask your firm admin to assign you. See Who works on what.
How do I keep an accountant away from one client?#
Exclude them from that client (an ethical wall). They lose any firm access to it at once, whatever their role or assignments. See Client companies.
How do I give someone temporary access, for holiday cover?#
Assign them to the client with a From and an Until date. The access starts and ends by itself. See Who works on what.
How long is a staff invitation valid?#
14 days. If it expires, click Send again on Invitations for a new link. See Accountants, roles and invitations.
Can I see what one of my accountants sees?#
Yes, with View as on the Overview or Accountants. It is view only: nothing can be changed, and the view ends by itself after 60 minutes. See View the app as a staff member.
An accountant left the firm. What do I do?#
Open their page under Accountants and click Offboard. Their access to every client is removed and they are signed out; the audit trail keeps their history. See Accountants, roles and invitations.
A staff member lost their phone and cannot sign in. What now?#
If they saved their recovery codes, they can sign in with Use a recovery code instead. Otherwise a firm admin opens Firm › Security, the Staff tab, and chooses Reset two-factor sign-in for that person. They set it up again at their next sign-in. A firm admin's own two-factor sign-in is reset by Verasol support. See Firm security.
How do we take on a company that already uses Verasol?#
On Companies, click Existing company and enter the company's TRN and its owner's e-mail. The owner decides in Verasol; nothing changes until they accept. See Client companies.
Does a client company get its own Verasol bill?#
No. A client of your firm is covered by the firm's agreement with Verasol. See Client companies.
Can we close the month for many clients at once?#
Yes, with Bulk actions. Verasol checks every client first, and you confirm each client on its own before its month is closed. See Bulk actions.
Can I give an auditor everything that happened in our clients?#
Yes. Audit export makes one file with the audit logs of the clients you choose and the firm's own trail. Files are kept for 24 hours. See Audit trail and audit export.
