AI usage and activity
See how much your company used Vera this month and against which limit, and every record she created or changed, who asked for it and why.
Two screens in Settings show what Vera does in your company. AI usage shows how much she was used this month and the monthly limit. What Vera did lists every record she created, changed or deleted, who asked for it and why. Both are under the Vera heading of the settings menu.
AI usage#
Open Settings › AI usage. The screen shows the company's use of Vera for one month, as it will be billed under your agreement.
- 1 Month: choose another month to see its use.
- At the top left: the AI used in the month, with the number of questions answered and the number of people who used Vera.
- 2 Monthly limit: the limit for this company and how much of it is used. No limit when there is none.
- 3 By day and 4 By person: how many questions Vera answered and the amount, per day and per person. Use that ran without a person, such as automatic tasks, shows as Automatic tasks.
- 5 Billed through: who bills the company for Vera, your accountancy firm or Verasol (billed directly), and how: monthly under the agreement, included up to the monthly allowance of the licence, or nothing when you use your own AI key.
Every answer in the chat counts, and so do calls, answers read aloud and each analysis of the Tax Optimizer, under the person who ran it. Amounts are before VAT.
The screen is for the company's owner, managers and accountants, and for the admins of the company's accountancy firm. An accountancy firm's admins can choose under Show whether they see this company or all the firm's companies.
The monthly limit#
The monthly limit is part of your agreement for Verasol. This screen shows it but does not change it. When the limit is reached, one of two things happens, as agreed:
| At the limit | What you see |
|---|---|
| The assistant pauses | "This company has reached its monthly AI limit. The assistant is paused until the limit is raised or the new month starts. The limit is set by Verasol: to raise it, contact Verasol." |
| The assistant keeps working | "This company is above its monthly AI limit. The assistant keeps working; the extra use is flagged for review." |
An accountancy firm can also have a limit for all its companies together. The same two messages then name the firm instead of the company.
What Vera did#
Open Settings › What Vera did, or click What the assistant did at the top of the AI Assistant page. The screen lists every record Vera created, changed or deleted in the company, newest first: what she did, when, who asked for it, and the request in their words. The list comes from Verasol's own record of what was saved, not from what Vera said: if a record is on the list, it was really created, changed or deleted.
Narrow the list with From and To (dates), 1 What was done (created, changed or deleted), 2 Record (invoices, bills, payments, journal entries, customers, suppliers, items or accounts) and 3 Only actions awaiting review. 4 Click a line to open its details.
With Show you choose what the list holds:
- What Vera created or changed: the records, as described above.
- What Vera could not do: requests that were not carried out, each with the reason, for example a change that only a person may make.
- Earlier activity (the previous list): Vera's actions from before this record was introduced. A company with no newer activity opens on this list.
The details of an action#
The Assistant action panel shows what was done, when, who asked for it, its status and a link to the record. Next to the link you see whether the record still exists, was deleted since or no longer exists. Below that:
- 1 What was asked: the request, in the words of the person who asked.
- 2 The assistant's reasoning: why Vera did it this way.
- 3 What was recorded for a new record, or What changed for a change: each field with its value, and for a change the value before and after.
- What happened to it afterwards: every later change to the same record, by Vera or by a person, with the date and who made it. If a draft Vera prepared was approved, changed or deleted later, you see it here.
For something Vera could not do, the panel shows Why it was not done instead.
The status of an action is Done, Not done, Partly done or Failed. In the earlier list it can also be Awaiting review, Rejected or Rejected after review.
Actions awaiting review#
Some actions are flagged for review. They show as Awaiting review, and the filter Only actions awaiting review lists them (from the earlier list). The company owner opens the action and clicks Approve or Reject at the bottom of the panel.
Who sees what#
The owner sees everything Vera did in the company. Everyone else sees what Vera did for them, and the records Vera created or changed in the parts of the books their role may read: someone who may not see payroll never sees a payroll record here.
In the earlier list, the owner and people whose role includes the reports see all of Vera's actions, and everyone else the actions Vera took for them. If your role may not read a kind of record there, you see that the action happened but not its details: "You don't have access to this kind of record, so the details are not shown."
