Leave
Record leave requests under the UAE leave types, approve or reject them, and see how annual leave builds up and is provided for in your books every month.
A leave request in Verasol starts as Pending. Nothing changes until someone with HR rights approves it: then the days count against the employee's balance, and unpaid leave comes off their next salary. Verasol offers the leave types of the UAE Labour Law (Federal Decree-Law 33 of 2021) and checks each request against the law's limits, both when you record it and again when you approve it.
See the leave requests#
Open Payroll & HR › Time & leave › Leave Management.
- 1 New Leave records a request.
- 2 Pending, Approved and Rejected filter the list. It opens on the requests waiting for a decision, latest first, 20 to a page (Previous and Next below the list).
- 3 Approve and 4 Reject decide a pending request. When you reject, Verasol asks for the reason.
On the right, the Leave Summary counts all the company's requests: the Total Applications, the requests whose leave falls in the current month (This Month), and how many are pending, approved and rejected (cancelled requests are not counted). Below it, Approved leave in 2026 shows the approved days of the year by leave type.
Record a leave request#
- Click New Leave.
- Choose the Employee and the Leave Type. Under the type, Verasol shows its rule. For Parental leave, also enter the Child's date of birth.
- Enter the From Date and To Date. Leave already taken can be recorded with past dates. The panel shows the Total Days, and for annual leave, sick leave and compensatory time off the days Available to the employee. For parental leave, study leave and compensatory time off, it notes that the days are counted in working days: the company's rest days and public holidays in the period do not count.
- Enter the Reason and click Submit Application.
1 Employee, 2 Leave Type with its rule, 3 From Date and To Date, 4 the days Available, 5 Submit Application. 6 The UAE leave rules box at the bottom of the panel sums up every type.
The panel also says whether the leave is paid. Every type is paid as usual except Unpaid leave, which is taken off the pay and does not count as service for the end-of-service gratuity.
The leave types#
| Leave type | The rule Verasol applies | Counted in |
|---|---|---|
| Annual leave | Within the balance the employee has earned by the last day of the leave (see How annual leave builds up). | Calendar days |
| Sick leave | Within the year's sick leave quota, 90 days unless HR set another. | Calendar days |
| Maternity leave | 60 days in a year, for a female employee (the type is not offered for a male employee). | Calendar days |
| Parental leave | 5 working days for each newly born child, for the father or the mother, taken within six months of the birth. Needs the Child's date of birth. | Working days |
| Bereavement leave | At most 5 days in one request. | Calendar days |
| Study leave | 10 working days a year, for an employee with at least two years of service. | Working days |
| National service leave | For UAE nationals only. | Calendar days |
| Compensatory time off | Within the days the employee has earned for overtime or work on a rest day or public holiday, and not used. | Working days |
| Unpaid leave | Not in a month whose payroll is already processed. | Calendar days |
Working days leave out the company's weekly rest days and public holidays (Working week & holidays). For the other types, rest days and public holidays inside the leave count as leave days.
The law has no separate Hajj or emergency leave: record such an absence as annual or unpaid leave.
What Verasol checks#
Verasol checks a request when you record it and again when you approve it, against the situation on that day. A request that does not fit is refused with the reason, for example the days available.
- The limits of the leave type, in the table above. When you record a request, the employee's other pending requests of the same type count too.
- No leave can fall after the employee's last working day. Once the end-of-service settlement is paid, no leave can be added up to the last working day either: the settlement paid out the balance.
- Unpaid leave cannot fall in a month whose payroll is already processed, because that month's pay is already worked out. Cancel that payroll first, or record the absence in a month not processed yet.
- Sick leave: payroll pays sick leave in full. When an employee's approved sick leave passes 15 days in a year, Verasol reminds you that the legal minimum is 15 days on full pay, 30 on half pay and the rest unpaid, so you can record the days your company does not pay as unpaid leave. Maternity leave is also paid in full by payroll (the law requires 45 days on full pay and 15 on half pay).
How leave affects pay#
| Leave | Effect on the salary |
|---|---|
| Every type except unpaid leave | Paid as a normal working day. |
| Unpaid leave | Taken off the pay at the full month's daily rate (the monthly basic salary and fixed allowances divided by the calendar days of the month), and it earns no annual leave. |
Approved leave days also appear in the WPS salary file as the employee's days on leave. See Run payroll and WPS.
How annual leave builds up#
Verasol works out each employee's annual leave from their service, not from a figure typed in:
- none while the service is six months or less;
- after six months, 2 days for each month of service up to one year (12 days at six months);
- from the first anniversary, 30 days for each completed year of service, and the year in progress pro rata, day by day (UAE Labour Law, Article 29);
- less the approved annual leave taken;
- unpaid leave earns no annual leave.
For staff who worked for you before you started with Verasol, the balance starts from the unused days you enter in the payroll opening balances.
What Verasol books#
Every month, payroll brings the leave salary provision up to the value of the employees' unused annual leave at the month-end: the unused days times the basic salary ÷ 30. For example, the September 2026 payroll of the documentation company posted:
| Account | Debit | Credit |
|---|---|---|
| 6006 Leave Salary Expense | 6,545.12 | |
| 2240 Leave Salary Payable | 6,545.12 |
When an employee takes more leave than they earn in a month, the entry goes the other way. When they leave, the end-of-service settlement pays the unused days and uses the provision.
The employee's leave balance#
The Leave Balance on the employee's page shows the annual leave available, the sick leave left of the year's quota, the maternity leave entitlement (for a female employee) and the compensatory time off available. Click Edit to change the year's Annual Leave Quota, Carried Forward days or Sick Leave Quota.
The Sick Leave Quota is the limit Verasol checks sick leave against. The annual leave available, the leave salary provision and the settlement are always worked out from the service dates and the approved leave, as described above, not from the yearly quota.
Award Comp Off adds compensatory days off, for example for work on a rest day: enter the Date Worked, the Days to Award (0.5 to 30) and the Reason. Overtime can also be given as time off when it is approved. See Attendance and overtime. Compensatory time off is never forfeited: days the employee will not take are paid with the next payroll through Pay out days off not taken (see Attendance and overtime), and days not taken by the last working day are paid in the end-of-service settlement.
