Books health
Every night Verasol checks that your books agree with themselves and with your documents. See the result area by area, and run the checks again at any time.
Books health is Verasol's own review of your books. Every night it runs a fixed set of checks (88 in the documentation company): that every entry balances, that each control account equals the documents behind it, that filed VAT and corporate tax returns still agree with the books, that closed months have not changed, and many more. Each check either passes or fails, and a failed check says what differs. The checks change nothing in your books: they only tell you where to look.
Open books health#
Open Books health in the main menu, or click the books health card on the dashboard. At the top, a summary says All clear, or how many checks need attention, and when the books were last checked.
- 1 Check now runs every check straight away instead of waiting for the night. It takes up to half a minute; the page updates by itself when it is done.
- 2 The summary: All clear when every check passes.
- 3 One card per area of the books, with how many checks it has and how many need attention.
When you open the page and the last check is more than 26 hours old, Verasol starts a new one by itself.
The areas#
| Area | What it checks, for example |
|---|---|
| General ledger | Total debits equal total credits, every entry balances, nothing is dated before the books start or in a future month, closed periods have not changed, opening balances are on the opening date, the safeguards that keep posted entries unchanged are in place |
| Sales & receivables | Receivables equal the open invoices less customer credits, credit notes never credit more than was invoiced, monthly sales equal the revenue in the ledger |
| Purchases & payables | Payables equal the open bills less supplier advances, goods received not invoiced equals the goods received and not billed yet |
| Banks & cheques | Bank balances match the ledger, finished reconciliations still agree with the books, foreign-currency bank balances are revalued at period ends, post-dated cheques match their register |
| VAT | VAT input and output equal what returns have not cleared yet, filed returns still agree with the books, only 0% and 5% are used |
| Corporate tax | Corporate tax payable matches the returns and payments, filed returns agree with the books |
| Payroll & HR | Every processed payroll is booked, salaries payable, the end-of-service and leave salary provisions and employee loans match payroll |
| Inventory | The inventory account equals the stock valuation, on every date it changed |
| Fixed assets | The fixed-asset accounts equal the asset register |
| Foreign currency | Foreign receivables and payables are revalued correctly, paid foreign invoices and bills leave nothing open in AED |
Click an area's card to see its checks. Each passing check has a green tick.
1 Total debits equal total credits: the trial balance balances. 2 Closed periods have not changed: the balances of every closed month are still those it was closed with. 3 Opening balance equity holds only opening balances.
When a check needs attention#
An area with a failed check moves to the top of the page and opens by itself, showing only its failed checks. For each one you see:
- the check and what it compares;
- what the figure Should be and what it Is, or how many items there are to look at;
- the first few items that differ, such as entry numbers or accounts.
Show the checks that pass under the failed ones shows the rest of the area; Hide the checks that pass hides them again.
Fix the cause where it was made: post the missing document, correct the document that is wrong, or reverse a wrong entry with a new one. Then click Check now to see the result. Books health never corrects anything itself.
Who can see it#
Books health needs the permission Accounting: journal (view) or Reports and dashboard (view).
