Each company in Verasol has its own books, settings and team. You can work in several companies with one login, and you always work in one of them at a time: the company named in the top bar. This article takes you from your first sign-in to a company that is ready for its first entries.

The welcome at your first sign-in#

The first time you sign in, Verasol opens a welcome in four steps. Your answers help Vera work with you. Later, you can change how Vera addresses you and your job title in Settings › Vera's instructions, or go through the welcome again with See the welcome again on that page.

  1. Meet Vera: what Vera does and how you stay in control.
  2. About you: your First name and Last name, How should Vera address you? and Your job title.
  3. Your work: what you mostly work on, your years of experience, the software you use today, how familiar you are with AI tools, how Vera should answer you, and anything else she should know.
  4. Your first company: How would you like to start?

The last step shows only the options that fit you:

If you work for an accountancy firm, the options are about your firm instead: adding a client company, inviting your team or opening the firm home. See Client companies.

Create a company#

Click the company name in the top bar and choose Add New Company. When you have no company yet, the top bar shows an Add New Company button instead.

The company menu in the top bar: switch company or add a new one

1 Switch Company lists your companies; 2 Add New Company starts a new one.

At the top of the first step, a box asks whether the books are in your current software. Its button brings them over: you sign in there, the company's details (name, legal name, TRN, address and more) fill in the steps for you to check, and the import starts when you create the company (see Move to Verasol). For an empty company, just go on with the steps.

The window takes you through five steps. Click Continue after each step; Back returns to the step before.

The first step of a new company: its business type

1 Choose the business type, then 2 Continue.

  1. Business Type: choose the legal form, for example Mainland LLC or Free Zone Company.
  2. Company Details: the Company Name as on the trade licence, the Legal Name if it is different, the Business Email, Phone Number, Registered Address, Emirate, City and PO Box. The name, the e-mail address and the emirate are required.
  3. Trade License: the Trade License Number (required), License Expiry Date, Licensing Authority, Incorporation Date and Economic Activity.
  4. Tax Registration: switch on VAT Registered to enter the TRN (Tax Registration Number), the VAT Registration Date and the VAT Filing Period. Switch on CT Registered to enter the Corporate Tax TRN (15 digits, from the FTA certificate), its Registration Date and the First Tax Period Start. You can add corporate tax later.
  5. Configuration: the Financial Year Start, the Base Currency, the Website and the Industry. The Setup Summary shows what you entered.

On the last step, click Complete Setup. Verasol creates the company, switches to it and shows Company Added Successfully!. You are the company's owner.

The AI Assistant panel on the left of the window answers questions while you fill it in, for example about which business type to choose.

Switch between companies#

Click the company name in the top bar. Under Switch Company you see each of your companies with its TRN. Click one: Verasol opens its dashboard. From then on, every screen, report and setting is that company's, and your role can be different there. Verasol remembers the company you worked in last for your next sign-in.

The building icon in the top bar lists the same companies. If you work for an accountancy firm or in more than eight companies, both open a search window instead: type part of the name, the TRN or the client code. Ctrl+K opens it from anywhere.

Check the essential settings#

Open Settings at the bottom of the main menu. The settings that make the books right are in the Company group. Only the company owner can change them; everyone else sees them read-only.

Settings: Company details, Tax & licence, Financial year & currency and Modules
  • 1 Company details: the name, contact details and address that print on your invoices, the company stamp, and the logo (the camera on the company picture at the top).
  • 2 Tax & licence: the TRN and VAT Registration Date, the trade licence, the corporate tax registration, the employer ids for the WPS salary file, and the VAT return period.
  • 3 Financial year & currency: the Fiscal Year Start, the Base Currency, the Timezone and the Books start date (go-live), the first day Verasol keeps the books.
  • 4 Modules: switch on the parts of Verasol your company uses, such as inventory, payroll or fixed assets. See Optional modules.

Company settings explains every field, and what Verasol refuses to change once your books depend on it.

While something important is missing, for example the company's TRN or its address, the dashboard shows what is missing, with a Fix button that opens the right setting.

What to do next#

  1. Bring your books over from your current software, or enter your opening balances: see Move to Verasol or Opening balances.
  2. Add your bank accounts.
  3. Look through the chart of accounts.
  4. Invite your team and give each person a role.
