The firm portal

Run your accountancy firm from one place. See every accountant's workload, the companies that need attention and the deadlines across all your clients, then switch to a client's books.

An accountancy firm in Verasol has its own screens, the firm portal, next to the books of each client. The firm admin invites the accountants, adds the client companies and decides who works on which client. The accountants then work in the books of the companies they are given, on app.verasol.ai like everyone else. The portal shows you the whole firm at a glance, and one click takes you into a client's books.

Who sees the firm portal#

What you see depends on your firm role (see Accountants, roles and invitations):

  • Firm admins see the whole firm. Partners see the clients and staff of their own office. Both get a switch with two buttons at the top of the main menu: Firm and Books. When they sign in, Verasol opens the Overview.
  • Managers, accountants, junior accountants and viewers see a Practice section at the top of their main menu, with Firm home (the practice dashboard) and the firm screens their role allows. A staff member with two or more clients starts on the practice dashboard when they sign in.

Every member of the firm also has Practice in the top bar, which opens the practice dashboard.

Switch between the firm and the books#

The Firm and Books switch at the top of the main menu, with the firm's menu below it
  • 1 Firm shows the firm's menu: Overview, Accountants, Companies, Who works on what, AI usage, Deadlines & status, Invitations, Bulk actions, Firm settings, Security, Audit trail and Audit export. Each item appears only when your firm role may open it. The firm's name shows under the switch.
  • 2 Books shows the normal menu of the company that is open (sales, purchases, banking, VAT and so on), with its name under the switch. If no company is open yet, the menu tells you to open one from Companies.
  • 3 Deadlines & status is the practice dashboard described below.

To move from one client to another, click the company name in the top bar (or press Ctrl+K) to open Switch company. Search by name, TRN or client code, and pin the clients you open most often. Whatever you then do in the books is done in that company only.

The Overview#

Open Firm › Overview. The page header shows your firm's name; a partner also sees Your office only.

The firm overview: accountants, companies, what needs attention and Vera's use this month
  • 1 Invite accountant opens the invitation.
  • 2 Add company opens a new client company.
  • 3 The four cards count your Accountants (and how many were active in the last 7 days, and invitations still waiting), your Companies (and how many have no accountant yet), the companies that Need attention (with the number of overdue filings) and Vera this month. Click a card to open the screen behind it. Need attention opens the practice dashboard filtered on those clients.
  • 4 Accountants' workload lists each accountant with the companies they look after, how many need attention, the overdue filings, the questions they asked Vera this month and when they were last active. View as opens Verasol the way that person sees it; see View the app as a staff member.

On the right, Waiting in the books adds up the Approvals, Drafts and Bank lines over 30 days across your clients. Companies without an accountant lists clients that nobody is responsible for yet. Assign opens a side panel to give one of them an accountant (see Who works on what). At the bottom, Recent activity shows the latest changes in the firm, and Full audit trail opens the audit trail.

Deadlines & status#

Deadlines & status (also Firm home or Practice) is the practice dashboard. It lists every client you can open, with the state of each part of its books. Everyone in the firm can open it. Each person sees the clients they can open, and only the columns their role in each client allows. Where your role does not include a part, the cell shows a dash: "Your role in this client doesn't include this."

The practice dashboard: tiles, filters and one row per client

The page has two tabs, 1 Clients and 2 Deadlines.

On the Clients tab:

  • 3 The tiles count what needs doing across your clients: VAT due this week, Overdue filings, Bank lines > 30 days, Months not closed, Waiting for approval, Drafts, AI flags, Salaries due and Documents expiring. Click a tile to show only the clients behind it; click it again to clear it.
  • 4 Search by client name, TRN or client code. With more than one office or staff member, you can also filter by Office and Staff member, and My clients shows only the clients you are assigned to. Clear filters removes every filter.
  • The columns show the Next deadline, VAT, Corporate tax, Month-end, Bank, Inbox (approvals, drafts and AI flags waiting), Payroll and Documents. The number in the column after the client's name is its attention score: overdue filings and late salaries weigh most. The list is sorted by it, so the clients that need you most come first.
  • Click a client's name to open its books. Click a cell to open the client on the screen that deals with it, for example the VAT return or the bank reconciliation.
  • The ⋮ menu (Actions) on each row has Open client, Pin (or Unpin) and Refresh this client.
  • 5 Export downloads the list, with your filters, as a CSV file. Refresh recomputes the status of your clients now; the line under the title says when the figures were last updated.

If your firm role allows bulk actions, tick clients in the first column and a Bulk action button appears. See Bulk actions.

The Deadlines tab#

The Deadlines tab: filing and payment dates across all clients, by day

The Deadlines tab lists the coming dates of all your clients, grouped by day: VAT returns, corporate tax returns, salaries (WPS), trade licences, employee documents and the dates of each client's compliance calendar. 1 Choose the period: Overdue and next 30 days, Overdue and next 90 days or Overdue and next 12 months. Overdue dates are shown in red. Click one or more kinds to show only those. 2 Click an entry to open that client on the right screen.
