Audit trail and audit export
See every change to who can open your clients, your staff, offices, roles and security, and export one file with the audit logs of your clients for an auditor or a regulator.
Your firm keeps two kinds of records. Each client's books have their own audit log: every entry, change, approval and AI action in that company. On top of that, the firm keeps its own audit trail: who was given access to which client, assignments, exclusions, staff changes, offices, roles, security, bulk actions and exports.
The firm's audit trail#
Open Firm › Audit trail. Firm admins see the whole firm; partners see what concerns their own office.
Each line shows what happened, the person and the client it was about, the role and how it was given (for example Assigned or By firm rule), the reason when one was given, the date and time, and who did it. Changes Verasol made by itself show Verasol (automatic); changes from your single sign-on show Single sign-on; changes made for you by Verasol show Verasol support.
To find something:
- Choose the dates 1 From and To.
- Under 2 What, choose a kind: Access to clients, Assignments, Exclusions, Staff (also invitations, teams and View as), Clients, Offices, Roles and rules, Security, Bulk actions, Exports or The firm, or Everything.
- Click 3 Show.
4 Click a client's name to open its access page and see who can open it today. The Recent activity card on the Overview shows the latest lines, with Full audit trail to come here.
Export the audit trail#
For an auditor, a regulator or your own quality review, Audit export puts everything in one file: the audit logs of the clients you choose and the firm's own records. Firm admins export the whole firm; partners export the clients and staff of their office.
Open Firm › Audit export, or click Audit export on the Firm security page.
- Set the 1 Date From and Date To. One export covers at most 366 days.
- Under 2 What to include, tick the sources:
- Audit log of each client: every change in the clients' books.
- AI assistant actions: what Vera did in the clients' books.
- Bank reconciliation events.
- Firm trail (access, assignments, security).
- Staff sign-ins.
- Under Clients, tick the clients. All and None tick or clear them all; Search clients finds one.
- Choose 3 CSV (Excel) to open the file in a spreadsheet. The other format is for software that reads the file, such as an auditor's tools.
- Click 4 Make the export.
The file downloads when it is ready. A large export is prepared in the background: it then appears under 5 Recent exports, where you download it with the download button. Each export shows its period, the number of clients and rows, and a SHA-256 fingerprint of the file, so you can show later that the file was not changed.
