What Verasol's messages mean

The messages Verasol shows when it refuses something or warns you, what each one means and what to do. Grouped by area, from access and dates to VAT, payments, Vera and the firm.

For Verasol 2.12·13 min read

When Verasol refuses an action, it says why and, almost always, what to do instead. The refusals protect your books: a closed period, a filed VAT return or a reconciled bank statement stays exactly as it was reported. This page explains the messages you are most likely to meet. Parts in square brackets, such as [date], are filled in with your own details.

If a message is not on this page, it usually explains itself. If it does not, e-mail Verasol support with the exact text (see Get help), or ask Vera what it means.

Dates, closed periods and the books start#

Most date refusals come from a period that is locked. Period closing shows 1 up to which date your books are closed, so you can see at once whether a date is still open.

Period closing: the books are closed up to the date shown
MessageWhat it meansWhat to do
"The books are closed through [date] (period [months]): nothing can be booked or changed on [date]. Reopen that period (and any later closed one) first."The date falls in a closed period. Closed periods are locked so your reports stay as they were.Date the transaction in an open period, or have the period reopened by someone allowed to. See Period closing.
"The books start on [date]: an invoice can't be dated [date]. Check the date."The date is before the day your books in Verasol start. What happened before that belongs in the opening balances.Check the date. See Opening balances.
"Entries can't be dated after [date] (the end of this month); [date] is later: save it as a draft and post it when its date comes."Entries are not posted with a date after the end of the current month.Save it as a draft and post it when its date comes. See Journal entries.
"Nothing is booked on a bank account ([bank]) after today ([date]): [date] is later. Record it when the money moves, or save it as a draft."A bank or cash movement cannot be dated in the future.Record it on the day the money moves, or keep it as a draft. For a cheque dated later, see Post-dated cheques.
"Bank account [bank] is reconciled through [date] (reconciliation [reference], [date] to [date], is finalized): nothing can be booked on it dated [date]. Date it after [date], or reopen that reconciliation (and any later one) first."The bank account is reconciled up to that date, and the reconciliation is final.Use a later date, or reopen the reconciliation. See Bank reconciliation.
"Bill [number] is dated [date], in a closed period: its date, amounts and accounts can no longer be changed. Correct it with a debit note in the open period, or reopen the period first (Accounting > Period Closing)."The bill is booked in a closed period, so its booking stays as it is. The same refusal comes for a bill in a VAT period whose return is filed, or in a year whose corporate tax return is filed. Its due date and notes can still be changed.Record the correction as a debit note dated in the open period, or have the period reopened. See Purchase invoices (bills).

VAT, corporate tax and exchange rates#

MessageWhat it meansWhat to do
"The VAT return for [period] has been filed. Date the document after the period, or amend the return."The document falls in a VAT period whose return is filed, so it would change a filed return.Date it in an open period, or amend the return. See Filed returns.
"The corporate tax return for [period] has been filed: nothing can be booked in that year. Date it in the current year, or reopen the return first (Corporate Tax > the return > Reopen)."The tax year's corporate tax return is filed, so nothing that changes that year can be booked. An amended return stays filed and keeps the year locked.Date it in the current year. If that year really must change, open the return under Corporate Tax, click Reopen, make the change and file the return again. See Corporate tax returns.
"The company is not registered for VAT on [date] (no TRN, or registered later), so invoice [number] cannot charge VAT. Set the VAT rate of its lines to 0%, or record the company's TRN and VAT registration date in Settings."The invoice charges VAT on a date when the company was not registered for VAT.Remove the VAT, or enter the TRN and registration date in the company settings. See How VAT works.
"[line] is standard-rated but has a VAT rate of 0%: a standard-rated supply carries 5% VAT."The line's VAT treatment and its rate do not agree.Set the rate to 5%, or choose the right treatment for the line.
"No exchange rate to AED is known for [currency] on [date]. Enter the rate (1 [currency] = ? AED)."No published rate is available for that currency and date.Enter the rate yourself on the document.

Invoices, payments, stock and entries#

MessageWhat it meansWhat to do
"Cannot record payment against a draft invoice. Draft invoices have not been sent to the customer yet, so they cannot have paid for them. Please send the invoice first (change status to "sent") before recording payments. If this is an advance payment received before invoicing, record it as a customer credit instead."A draft is not in your books yet, so nothing can be paid against it.Issue the invoice first with Mark as Sent. For money received before invoicing, record it as a customer credit. See Receive payments.
"Invoice [number] has nothing left to pay."The invoice is already settled in full, so there is nothing left to apply a credit or a payment to.Check whether the payment was recorded twice, or apply the credit to another invoice.
"The payment ([amount]) is more than the open balance of [document] ([amount])."The payment is more than what is still open on the document.Correct the amount. Record the rest as an advance or apply it elsewhere.
"A credit note cannot be cancelled. To undo it, issue a new invoice to the customer."An issued credit note stays in the books.Issue a new invoice for the amount. See Credit notes.
"Insufficient stock for '[item]' at [warehouse] on [date]. Available on that date and after: [quantity], Required: [quantity]"The warehouse does not hold enough of the item on that date, also counting what leaves later.Check the date and the warehouse, or record the goods received first. See Stock movements.
"The entry does not balance: debits [amount], credits [amount]."The journal entry's debits and credits are not equal.Correct the lines until both totals match. See Journal entries.
"Only posted entries can be reversed."You tried to void or reverse an entry that is not posted. A draft entry is not in the books, so there is nothing to reverse.Change or delete the draft instead.
"The [role] role is mapped to account [account], which is inactive or deleted. Reactivate it, or map the role to another account under Chart of Accounts > Default accounts."Verasol books this kind of line on the account chosen for that role in your default accounts, and that account is switched off or deleted.Reactivate the account, or choose another account for the role under Chart of Accounts › Default accounts. See Chart of accounts.

See Instructions, memory and voice.

The limit is set by Verasol: your account owner or your accountancy firm can ask Verasol to raise it."The company used its monthly AI limit, and the limit is set to pause Vera.Vera works again at the start of the next month. To raise the limit sooner, your account owner or your accountancy firm asks Verasol. See AI usage.
