Company settings

The company's details, logo and stamp, its TRN, trade licence and corporate tax registration, its financial year, base currency and books start date, and what Verasol locks once the books depend on them.

Settings, at the bottom of the main menu, holds the settings of the company you are working in. The details you enter here print on your invoices and other documents, and some of them decide how Verasol books and files your VAT and corporate tax. That is why Verasol locks a few of them once your books depend on them.

Only the company owner changes the company's details, its tax details, its financial settings, the logo and the stamp. In a client company of an accountancy firm, that is the firm's admins, who are owners of every client. No other role can be given this right, not even a role of your own (see Your team and their permissions). Everyone else sees these settings read-only, with a note that only the company owner can change them.

Find a setting#

The settings are listed on the left, in groups: Company, People & security, Vera, Data and Account. Type a word in Find a setting 1 to find the one you need, for example "TRN" or "stamp". Click a setting to open it on the right. Which settings you see depends on your role.

Company details in Settings: the search box, the company's details, logo and stamp

This article covers the Company and Account settings. The others have their own articles: Optional modules, Your team and their permissions, Audit log and login history, Teach Vera, AI usage, Dimensions and custom fields and Move to Verasol.

Company details#

Open Settings › Company details. The yellow box reminds you that these are the details of the company you are working in now: switch companies, and you see the other company's details.

  • Basic Details: the Company Name 2, the Legal Name, the company's Email, Phone and Website.
  • Address: the Address, City, Emirate and PO Box.
  • Company Stamp: click Upload Stamp 4 and choose a PNG image with a transparent background. Verasol prints the stamp on your invoices, quotes, orders, VAT returns, payslips and other official documents.

Click Save Changes 5. Cancel puts back what was saved.

The company's logo is the picture at the top of the page. Click the camera on it 3 (Company Logo) to upload an image of up to 2 MB. Verasol prints the logo on your invoices, bills, orders, delivery notes and settlements.

Tax & licence#

Open Settings › Tax & licence.

Tax & licence: the TRN, the corporate tax registration and the WPS employer ids

Under Tax & License Details:

  • 1 TRN Number: the 15-digit Tax Registration Number from the FTA. Verasol prints it on your tax invoices.
  • 2 VAT Registration Date: the date your VAT registration took effect. An invoice dated before it, or of a company without a TRN, cannot charge VAT.
  • Trade License Number and Trade License Expiry Date. Verasol puts the renewal in your compliance calendar, 30 days before the expiry date.

Under Corporate Tax Information, switch on 3 Registered for corporate tax and enter the Corporate tax TRN (15 digits), the Corporate Tax Registration Date and the date the First corporate tax period starts. The Incorporation date can be entered once. See Corporate tax.

Under Wages Protection System (WPS), enter the employer ids that go on the WPS salary file: the 4 MOHRE establishment id (up to 13 digits) and the WPS agent id (routing code) of the bank or exchange house that pays the salaries (9 digits). See Run payroll.

Click Save Changes.

Further down, VAT return period sets which VAT return is due when. Choose Monthly or Quarterly under VAT returns, and for quarters the months they start in under Quarters start in, as on your FTA registration certificate. Leave it empty and Verasol follows your filed VAT returns. The line below shows the next return to file and its due date, the 28th of the month after the period. Click Save VAT period. This part only needs the Tax (returns and payments) permission, so managers and accountants can set it too.

What Verasol refuses to change#

Once your books depend on these details, changing them would make issued documents and filed returns wrong. Verasol then refuses, and tells you why:

SettingWhen it locks
TRN NumberOnce VAT is booked or a VAT return is filed. A missing TRN can still be added; it cannot be changed or removed. A new registration is a new VAT registrant.
VAT Registration DateOnce VAT is booked: it cannot be removed or moved past documents already issued.
Corporate tax TRN, registration date and first periodOnce a corporate tax return is filed under them. Reopen the return first.
Incorporation dateOnce entered.

Financial year & currency#

Open Settings › Financial year & currency. Set these before you record anything.

Financial year & currency, locked once the books have entries
  • 1 Fiscal Year Start: January - December, April - March, July - June or October - September. It cannot change once a journal entry has been posted.
  • 2 Base Currency: the currency your books are kept in, normally AED. It cannot change once any journal entry exists, even a draft.
  • Timezone: decides the dates of your documents. It cannot change once VAT documents are booked.
  • 3 Books start date (go-live): the first day Verasol keeps the books. Opening balances are dated the day before it, and nothing can be booked earlier. You can only move it to a date that fits the entries already in the books. If you leave it empty, Verasol sets it from the first entry you post.

A lock next to a field shows that it can no longer change. Click Save Changes.

Billing details#

Settings › Billing details, shown to company owners, holds your own details as Verasol's customer, for the invoices Verasol sends you: Company/Firm Name, Tax ID / VAT Number, Billing Email, Phone, the address and the Country. These details belong to you, not to the company you are working in, so they stay the same when you switch companies. Click Save Billing Profile.

About Verasol#

Settings › About Verasol shows the version of Verasol you are using, its build and its date. What's new opens the list of changes in each version, and Copy version details copies them for an e-mail to support. When a newer version is available, a Reload button loads it.
