Customer and vendor dues, statements
See who owes you and whom you owe, aged by due date and tied to the control accounts, and print a statement of account for any customer or vendor.
The Customer Dues Report shows what each customer owes you on a date, and the Vendor Dues Report what you owe each vendor, split by how long the amounts are overdue. Statements shows the account of one customer or vendor over a period, line by line. All three are built from the posted entries on your receivables or payables control account, document by document, so their totals always agree with that account in the balance sheet.
Open Reports in the main menu and click the tab.
Customer dues#
Choose the As of date. The report lists every customer with an open balance on that date, the largest first.
| Column | What it holds |
|---|---|
| 2 Current | Amounts not yet due on the date. |
| 1-30 Days to > 90 Days | Amounts overdue, by the number of days since the due date. |
| 3 Unapplied | Money received that is not applied to an invoice yet, such as an advance payment. It reduces the total. |
| Total | What the customer owes on the date. |
| 4 Covered by post-dated cheques | Shown when you hold cheques that have not cleared yet. |
1 The As of date. Click a customer to see 5 the documents behind the balance: each invoice or credit note with its date, its due date and the days it is overdue. A document in another currency carries its currency.
A post-dated cheque settles the invoice when you receive it, so the invoice is no longer in the balances due. The cheque amount moves to your post-dated cheques received account until the bank clears it, and the report shows it in its own column, per customer. See Post-dated cheques.
6 Under the table, Verasol compares the total with the control account in your books, for example 1100 Accounts Receivable, and shows the difference (Diff). A green check means the report and the ledger agree. When you hold post-dated cheques, the same check is made against the post-dated cheques received account.
Vendor dues#
The Vendor Dues Report works the same way for what you owe: each vendor with its Current, overdue and Unapplied amounts (for example an advance you paid), the documents behind each balance, and the check against your payables control account, for example 2100 Accounts Payable.
Use it before a payment run, together with Pay vendors.
Both dues reports can be printed or exported to Excel or PDF with Export. See Reports.
Statement of account#
Statements shows the account of one customer or one vendor over a period, as you would send it to them.
- Choose 1 Customer or Vendor.
- Choose 2 the customer or vendor.
- Set From and To. The statement loads by itself.
The statement has:
- The customer's or vendor's name and TRN, the period and the basis: the balance is owed by the customer, or owed to the vendor.
- 3 Opening Balance on the first day of the period.
- One line per invoice, bill, credit note, debit note, receipt or payment: Date, Type, Document, Description, Debit, Credit and the running Balance. A receipt or credit note shows with an arrow which invoice it settled.
- 4 Closing balance, with the total debits and credits of the period.
- Aging as of the last day, in the same columns as the dues reports.
- 5 Open items: each document still open, with its due date and how many days it is overdue.
Print the statement with the printer button and send it to your customer or supplier. It prints alone, without the menus.
