Audit log and login history

See every change made in the company, who made it, when, and whether Vera did it; export it for your auditors; and check who signed in and from where.

For Verasol 2.12·5 min read

Verasol keeps an audit log of every company. Each time someone creates, changes, deletes or restores a record, such as an invoice, a payment, a journal entry, an employee or the company's settings, Verasol records who did it, when, from where, and what changed. When Vera does it, the log says so. Nobody can edit or delete the audit log from within Verasol.

Open the audit log#

Open Settings › Audit log. You need a role that can see reports (Reports (view)); every built-in role can. Without it, the audit log is not in your Settings menu.

The audit log: the newest changes first, with Export and the filters at the top

The list shows the newest changes first, 20 at a time, with Previous and Next to page through them. For each change you see:

ColumnWhat it shows
Date/TimeWhen the change was made.
UserWho made it. A change Vera made is marked AI.
EventCreated, Updated, Deleted or Restored, and events such as Added to the team, Removed from the team and Role changed.
RecordThe kind of record and its name, for example a bill and its supplier.
ChangesView details 4 opens the change.
IP AddressWhere the change came from.

Use 2 Event Type to see only one kind of change, 3 Record type to see only one kind of record (it lists the kinds that are in your log, such as invoices, bills or journal entries), and Date From and Date To to narrow the period: these are days on the company's calendar, UAE time. Refresh loads the newest changes.

See what changed#

Click View details in a row. The Audit Log Details panel opens.

The details of a change: what Vera did and why, who she did it for, and the values that changed
  • 1 AI Reasoning appears when Vera made the change, with her note on what she did and, when it was recorded, What the person asked Vera.
  • 2 User Information: the person's Name and Email, and the IP Address and Browser the change came from.
  • 3 Changes Made: each field that changed, in plain words, with its value Before and After. A new record shows the Values it was created with. Dates, statuses and yes/no values are shown as on the screens. Internal details of the software are left out.

Passwords and other secrets are never shown, and bank account and identity numbers are cut to their last four characters. Only the company owner sees other people's IP address and browser; everyone else sees them for their own actions only.

Verasol also keeps a record of what you do on its screens: the pages you open, the buttons you click and the fields you change. A field is recorded when you leave it, not while you type, and for a password, a sign-in code or a card number Verasol records only that the field was changed, never what you typed. These steps are not listed in the audit log. Vera uses them to know where you are and what you were just doing, and she tells them only to you and to the company owner.

Export the audit log for your auditors#

The owner, managers and accountants can export the log.

  1. Click Export 1. The Export the audit log window opens.
  2. Choose the period with Date From and Date To. It starts on the last 30 days; one export covers at most 366 days.
  3. Choose the file format: CSV (Excel) opens in Excel.
  4. Click Download.

The file has every change, every action of Vera and every bank reconciliation event of the company in that period, with the values masked as on the screen. A large export is prepared in the background: it appears under Recent exports, with its status (Waiting, Preparing, Ready), and you download it from there when it is ready. Exports are kept for 24 hours.

Sign-in history#

The company owner finds Sign-in history in Settings, under People & security. It shows when and from where everyone who works in the company signed in. Everyone else sees their own recent sign-ins in their profile.

For each attempt, the list shows the Date/Time, the person, whether it was Successful or Failed, the IP Address, the browser and, for a failed attempt, the Failure Reason, for example a wrong e-mail or password, or a wrong two-factor code. Filter on the status, on part of an IP address (Search by IP...) or on dates.

Accountancy firms have their own audit trail across all their client companies: see Firm audit trail.
