Running payroll in Verasol has two steps. Processing a month works out every employee's pay and books it in your accounts as salaries owed, with the month's end-of-service and leave provisions. Marking it paid records the money leaving your bank, after you have sent the WPS salary file to your bank. Processing is for a payroll manager; marking a payroll as paid is always done by a person.

Before you process a month#

Check that the month's records are complete, because payroll reads them when you process:

Process the month#

  1. Open Payroll & HR › Pay › Payroll Runs.
  2. In Select Month 1, choose the month.
  3. Click 2 Process Payroll.
Payroll Runs: process a month, and the actions on each month in the Payroll History

Verasol confirms how many employees were paid and lists anyone it left out, with the reason: for example an employee without a salary structure for the month. The month appears in the Payroll History with the status Completed.

Verasol keeps the months in order:

  • A month can be processed from its first day on, never ahead. The salaries are booked on the last day of the month, or on the day you process when that is earlier (salaries are often paid around the 25th).
  • Months are processed in order, without gaps: after your first payroll, the month before must be processed first.
  • Months that ended before you started with Verasol are not processed here: they belong in the payroll opening balances.

What payroll works out for each employee#

  • The salary structure in force, for the calendar days the employee was employed in the month: a joiner or leaver is paid for their days only, and a salary change during the month pays each salary for its own days.
  • Less unpaid leave and unexcused absences, at the full month's daily rate.
  • Plus overtime approved for pay and not paid yet, compensatory days off paid out and not paid yet (at the basic daily wage, basic salary ÷ 30), and approved expense claims not paid yet.
  • Less the deductions, in this order: the employee's pension contribution (UAE and GCC nationals), other deductions (with any carried from earlier months), then the loan instalments due by the month-end on loans recovered from the salary, oldest first.

All deductions together stay within half of the month's wage, as the UAE Labour Law requires (Federal Decree-Law 33 of 2021, Article 25). The wage here is the pay for the month's work (the basic salary, allowances, overtime and arrears, less unpaid leave and absences), not the expense claims repaid with it. The pension contribution is withheld first and counts towards the half. Other deductions are taken as far as the half and the pay allow, and the rest is carried to the next month. A loan instalment is deducted only in full, and only when it still fits: one that does not fit stays due on the loan and is carried to the next month.

When a deduction is left out, Verasol says so when you process the month, naming the employee and the amount carried.

Check the payroll#

On each month in the Payroll History (the picture above):

  • 6 View Details (the eye) opens the month with every employee's pay and payslip (below).
  • 4 Download Payslips gives you every employee's payslip as PDFs in one ZIP file.

When Vera prepares a month for you, it appears in the list as Draft: worked out exactly as processing would, but nothing is booked. Check it, then click 3 Process on its row to process the month. Verasol works the figures out again at that moment and books them.

The month's details#

The details window shows the month's status, pay period, who processed it and its 1 Journal entry; the Gross pay, Deductions and Net pay of the month; the pension contributions and 2 the end-of-service and leave salary provisions; and any Deductions carried to next month. Below them is every employee, with the days worked and their gross pay, deductions and net pay.

3 Payslip on an employee's row opens their payslip.

The payslip#

A payslip: the earnings beside the deductions, the net salary and the payment details

The payslip shows the earnings (basic salary, allowances, overtime, compensatory days off paid out, expense claims repaid, less unpaid leave and absences) beside the 1 deductions (pension contribution, loan instalments and other deductions), the net salary and the payment details. The employer's pension contribution is shown below the table, as it is not deducted. When a deduction could not be taken, the payslip says Deductions not taken this month and carried to next month, with the amount. Compensatory days off paid out have a line of their own, "Days off not taken, paid out", with the number of days.

  • 2 Download PDF saves the payslip.
  • 3 Email to employee sends the PDF to the e-mail address on the employee record. It is shown to payroll managers once the month is processed.

On an employee's page, Generate Payslip opens their payslip of the latest month. See Employees.

Download the WPS salary file#

Click 5 Download WPS SIF on a processed month. Verasol makes the salary information file in the layout of the UAE Wages Protection System: one line for each employee paid, and a control line with the total. Upload it to your bank or exchange house.

For each employee the file gives the labour card number, the bank routing code and IBAN, the days paid for, the fixed pay (basic salary and allowances), the variable pay (the rest of the net pay) and the days on leave.

The file needs the company's MOHRE establishment id and WPS agent id (routing code) (in Settings › Tax & licence), and for every employee a labour card number, an IBAN and the WPS Agent ID (Routing Code). If one of them is missing, the file is not made and Verasol says what is missing, for example the IBAN of a named employee. The WPS readiness list on the Compliance tab shows in advance which employee misses what. The file contains IBANs and labour card numbers, so downloading it needs the right to manage payroll or HR.

Mark the payroll as paid#

When the salaries have left your bank:

  1. Click Mark as Paid (the icon with the coins) on the month.
  2. Choose the account in Paid from bank account, the Payment date (from the first day of the pay period, not in the future) and the Payment reference, for example the WPS or bank transfer reference.
  3. Click Mark as paid.

The month's status becomes Paid, and the expense claims paid with the salaries become paid too.

Pension contributions are paid to the pension fund separately: use Pay pension contributions (GPSSA / pension fund) on the month. Deductions withheld for someone else are paid on with Pay other deductions on (to whom they were withheld for).

What Verasol books#

For the September 2026 payroll of the documentation company (14 employees), Verasol posted these entries:

When the month was processed, the salaries:

AccountDebitCredit
6001 Salaries & Wages (basic salaries, allowances, overtime)185,884.50
6007 Employer Pension Contributions6,625.00
2215 Employee Reimbursements Payable (claims paid with the salaries)379.00
2210 Salaries Payable (net salaries)183,613.50
2260 Pension Contributions Payable (employee 2,650.00, employer 6,625.00)9,275.00

and, on the same day, the provisions:

AccountDebitCredit
6005 End of Service Benefits Expense5,204.52
2300 End of Service Benefits Provision5,204.52
6006 Leave Salary Expense6,545.12
2240 Leave Salary Payable6,545.12

When it was marked as paid, the payment:

AccountDebitCredit
2210 Salaries Payable183,613.50
Your bank account (here 1000-0001 Current Account)183,613.50

Loan instalments deducted are credited to the employee loans account, and loss of pay reduces the salary cost. The provisions bring the books up to the gratuity and the unused leave your employees have earned by the month-end. See End of service and gratuity and Leave.

Correct a payroll#

  • Undo payment on a paid month takes a payment recorded by mistake out of the books (wrong date, bank or amount, or it never went out). Its entry is reversed and the month is processed but not paid again, so you can record the payment again.
  • The bin on a processed month that is not paid cancels the payroll of the month: its entries are reversed, its loan instalments, overtime, compensatory days paid out and expense claims are released, and the month stays in the list as Cancelled. Then process the month again with the corrected figures. A paid month is cancelled after its payment is undone; a draft is simply deleted.
Undo the salary payment: what will happen, and the reason kept in the audit trail

Verasol asks for the reason, which stays in the audit trail. It refuses when the month is closed, when the payment is matched in the bank reconciliation, or when a later month is already processed (cancel the latest month first). Then correct the difference in the next payroll.
