Awaiting your approval

The proposals Vera prepares for you, such as a cheque deposit, bank matches or a transfer between your accounts. Nothing happens in your books until a person approves them here.

For Verasol 2.12·5 min read

Awaiting your approval lists the proposals Vera has prepared for you: depositing or clearing a cheque, matching bank lines, booking a bank charge, moving money between your own accounts, writing off damaged stock, and more. Nothing happens in your books until a person approves a proposal. When you approve it, Verasol carries it out exactly as if you had done it yourself on its own screen, with the same checks.

Find what is waiting#

Open Awaiting your approval in the main menu, or click the check-mark icon in the top bar. The green number on the icon counts the proposals waiting that you can approve.

Two proposals waiting: a stock write-off and a transfer to petty cash

The page has two tabs: 1 Waiting, for the proposals still to decide, and Decided, for those already approved or rejected. Each proposal shows:

  • what kind of proposal it is, for example Stock adjustment or Transfer between accounts;
  • what will be done, in plain words taken from your own records: the accounts, the amount, the date;
  • Why the assistant proposes this: Vera's reasons, for example your request in the chat;
  • who asked for it, when, and the date it expires.

The list updates by itself when Vera prepares something new or a colleague decides.

What can be waiting#

ProposalWhat approving it does
Deposit a cheque, Cheque cleared, Cheque bounced, Cancel a chequeTakes that step for a post-dated cheque, as in the cheque register
Bank reconciliationMatches bank statement lines to entries already in your books
Book a bank lineBooks a bank statement line that has no entry yet, such as a bank charge
Transfer between accountsRecords a transfer between two of your own bank, cash or card accounts
Stock adjustmentAdjusts the stock of an item, for example writes off damaged goods at their cost
Apply a creditApplies an advance or a credit to an open invoice or bill
Pay out a staff loan, Approve an expense claimTakes that payroll step for the employee
Approve leaveApproves an employee's leave request
Register a fixed asset, Dispose of a fixed assetAdds the asset to the register, or records its disposal
VAT paymentRecords the payment of VAT to the FTA

Every role that can receive a proposal has this page: a role that reads or manages payments, banking, payroll, HR, inventory, fixed assets or VAT. The Waiting tab lists only the proposals you may decide: those your role may approve, and those you asked Vera for yourself, which you can always reject. When your role cannot approve a proposal you asked for, it says who can, for example "Your role in this company does not allow approving this: ask someone who manages banking."

Approve a proposal#

  1. On the Waiting tab, read what will be done and why.
  2. Click 3 Approve.

Verasol carries the proposal out at once, as you. You see Approved and done. with buttons that open what was created, such as the transfer or the journal entry. The proposal moves to the Decided tab.

  • Bank matches: a reconciliation proposal can hold several matches. Untick Include this match for any match you do not want; the button then shows how many matches you approve.
  • Several at once: tick 2 Select all, or tick each proposal, and click Approve selected. Each proposal is carried out on its own. Select all reconciliation matches ticks all the bank matches.

If a proposal can no longer be carried out, for example because the books changed after Vera prepared it, you see "It could not be carried out. Nothing was booked for it." with the reason, and its status becomes Not carried out. If two people approve the same proposal, it is carried out only once: the second sees "This was already approved and done: nothing was done again."

What Verasol books#

A proposal books exactly what its own screen would book. For example, when you approve a petty cash top-up of AED 5,000.00 from the current account, Verasol records the transfer and posts:

AccountDebitCredit
1000-0004 Petty Cash - Office (Petty Cash)5,000.00
1000-0001 Current Account (Emirates NBD)5,000.00

The account codes are an example: they come from your chart of accounts.

Reject a proposal#

  1. Click 4 Reject on the proposal.
  2. If you like, say why in Why do you reject it? (optional, the assistant sees it).
  3. Click the red Reject to confirm, or Cancel to keep the proposal.

Nothing is booked. Vera sees your reason, so she can prepare it differently if you ask her again.

Decisions you made#

The Decided tab keeps the proposals that were approved, rejected, not carried out or expired, with who decided and when, and the reason of a rejection.

If the owner has switched on YOLO mode, Vera approves her proposals herself, without waiting for a person.
