E-mails from Vera
Vera writes an e-mail, shows it to you and sends it only after you say yes. Add your own signature below her e-mails, and see everything she wrote and sent.
Vera can write an e-mail for you, for example a payment reminder to a customer or a question to a supplier, and send it. She never sends one on her own: she shows you the e-mail first and sends it only after you say yes.
Ask Vera to send an e-mail#
- In the chat or on a call, tell Vera what to write and to whom, for example "E-mail Saffron Coast Pharmacy about their overdue invoices".
- Vera writes the e-mail and shows you the whole text, with the address it goes to. In the chat you read it on screen. On a call she first asks whether she should read it out to you.
- She asks whether to send it to that address. Check the text and the address.
- Say yes in your own words, for example "Yes, send it". Vera sends the e-mail and tells you it has gone.
To change something, say so: "Make it shorter" or "Send it to accounts@ instead". She writes the new version and asks again. A yes always belongs to the latest version, to the address she named.
The e-mail goes out from Verasol in your company's name. Replies go to your company's e-mail address, or to yours when the company has none.
Payment reminder letters for several customers at once are for you to download and send yourself. Vera does not e-mail them.
Your e-mail signature#
Vera adds your own signature below every e-mail she sends for you. It is yours alone and belongs to one company. Each company you work in has its own signature.
- Open Settings. Under Account, click E-mail signature.
- Under Signature format, choose:
- Text: type your name, job title and contact details;
- HTML: paste the signature from your e-mail program. Scripts, forms and other unsafe parts are removed when you save;
- Image: upload a PNG, JPG or GIF of at most 1 MB and 2000 × 1000 pixels. You can set its width and add Text under the image.
- Check the Preview: it shows how the signature looks below an e-mail.
- Click Save signature.
1 Signature format, 2 Signature text, 3 Save signature, 4 the Preview.
When you have a signature, Vera ends her e-mails with "Kind regards," above it. Letters you download stay as they are: only e-mails Vera sends get the signature.
Everything Vera wrote#
Settings, under Vera, Documents Vera wrote lists every e-mail, letter, memo and notice Vera wrote for you, with who it went to and when. The owner of the company sees what she wrote for everyone.
- Search by subject, recipient or words in the text, and filter by Type, Status (Sent, Waiting for OK or Draft), Made in (Chat or Call) and, for the owner, Person.
- Click a document to see everything about it: Proposed to, Sent to, Approved with (the words of the yes), the Signature that went with it, and the tabs Preview, Text and Conversation, the chat or call it came from.
E-mails that were sent are always kept.
